We are currently seeking a highly organized and detail-oriented individual to fill the role of Part-Time Assistant to the Property Manager in our home office located in Prospect Heights.

This position plays a key role in supporting our property management operations and all administrative functions, ensuring efficiency and a high level of service to the property manager, our tenants, and all related partners and correspondents.

This is not a remote or hybrid position. Hours are flexible, with a minimum of 12 hours per week required (ideally 16 hours per week).

Key Responsibilities:

• Assist in managing property operations, including maintenance requests, rent collection, bill payments, filing, lease administration, pricing/vetting tasks, and scheduling NYC compliance appointments with contractors.
• Coordinate with tenants, vendors, and contractors on repairs, apartment turnovers, move-ins/move-outs, and maintain updated forms and files - both digitally and in physical file cabinets.
• Support the Property Manager with correspondence, phone calls, and calendar reminders.
• Prepare and distribute communication materials (emails or letters) to tenants and municipal agencies where compliance or documentation is required, and ensure proper filing/archival.
• Continually update contacts, calendars, and internal “how-to” employee manuals.
• Must have Google Suite experience; QuickBooks experience is very helpful but not required.

Requirements:

• Previous experience in property management or administrative support is required.
• Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
• Excellent written communication and strong interpersonal skills; able to multitask and develop familiarity with tenants, contractors, the accountant, attorney, etc. (“who’s who”).
• Proficient in Microsoft Office Suite and QuickBooks.
• Ability to work both independently and collaboratively in a sometimes fast-paced environment; positive, can-do attitude and able to “roll with the punches.”
• Flexible working hours.
