Position Summary

The Operations and Finance Manager is a four-days per week, year-round role responsible for overseeing the organization’s financial operations, administrative systems, and core office functions. This position ensures accurate financial reporting, timely payroll and accounts payable processing, effective budget management, and day-to-day administrative operations. This role requires strong attention to detail, sound judgment, and the ability to manage multiple priorities in a dynamic, seasonal environment. This role works closely with the Executive Director and external accountants to maintain financial integrity, support organizational planning, and ensure compliance with nonprofit accounting standards.

Location

This position will be based primarily on site at Spiral House Park in Saugerties, NY, with some flexibility for remote work.

Key Responsibilities

Financial Management & Accounting
-Oversee all payroll processing and related reporting using payroll and financial management software, including Gusto, QuickBooks Online, Excel, Google Workspace, and Bloomerang.
-Manage accounts payable and receivable functions, including invoice processing, payment scheduling, and vendor coordination.
-Maintain accurate financial records, aligned with best bookkeeping practices for a non-profit organization.
-Perform monthly reconciliations for all bank and credit card -accounts.
-Prepare and distribute monthly financial statements.
-Develop and manage annual and monthly organizational budgets in collaboration with the Executive Director.
-Coordinate year-end financial documentation and serve as liaison to external accountants and financial advisors.
-Manage annual nonprofit audit process with external accountants.

Revenue & Donation Tracking
-Track and reconcile incoming donations and program revenue via Bloomerang.
-Record sales transitions (e.g., books and merchandise) and track inventory.
-Manage accounts receivable and ensure accurate recording of fees, transfers, and related adjustments in accounting systems.
-Maintain organized digital and hard-copy financial records.
Support financial submissions for grant proposals and reports.

Administration & Operations
-Manage office systems, records, and supply inventory.
-Respond to general office communications, including email and telephone inquiries.
-Coordinate IT needs via coordination with external technology consultants.
-Participate in weekly staff meetings and support cross-functional coordination.
-Assist the Executive Director in preparing materials for quarterly board meetings.

Human Resources Administration
-Administer HR systems and policies through Gusto, including payroll-related benefits and compliance documentation.
-Help onboard new hires.

Qualifications
-Bachelor’s degree plus training or certification in financial management and/or office management, preferred but not required.
-Minimum of three years of related management experience, ideally within a nonprofit organization.
-Demonstrated knowledge of nonprofit accounting principles and financial reporting.
-Experience developing and managing organizational budgets.
-Strong organizational skills with exceptional attention to detail.
-Excellent written and verbal communication skills.
-Ability to work independently while collaborating effectively with diverse stakeholders.
-Comfort working in an entrepreneurial, start-up environment with evolving priorities.

Compensation

The salary range for this four-day work schedule is $75,000-85,000, depending on experience and qualifications, plus a competitive benefits package.

Spiral House Park, located in the Hudson Valley between the towns of Woodstock and Saugerties, is a nonprofit organization at the intersection of care for the environment and enjoyment of the arts. This 45-acre property, developed by Patty Livingston and the late artist Tom Gottsleben, is home to Gottsleben’s stone and crystal glass sculpture, a house that spirals five stories to form a bluestone nautilus with views of the Catskill Range, extensive native and traditional ornamental gardens, and trails that wind through woodlands and abandoned stone quarries.
